By using FormBox, you agree to these terms. If you are setting up FormBox for your firm, you are agreeing on behalf of your firm too.

1. What FormBox is

FormBox is a platform that allows law firms to build and manage their own databases, documents, and workflows. We are not a consumer app. Everyone using FormBox has been personally invited by their firm administrator or by us.

We are not a legal services provider. Nothing in FormBox constitutes legal advice.

2. Access

FormBox is invitation-only. There is no public signup. We issue invitations at our discretion, and your firm administrator controls who gets access within your firm.

3. Your responsibilities

You are responsible for keeping your login credentials secure, ensuring everything done under your account complies with these terms, and making sure your firm uses FormBox lawfully. You are also responsible for the accuracy and legality of any documents, workflows, or data your firm creates on the platform.

If something goes wrong with your account including lost access, suspected breach, email us at legal@formbox.uk straight away.

4. Your data and intellectual property

Everything your firm creates in FormBox including databases, templates, workflows, documents, belongs to your firm. We store it, we protect it, we do not sell it or use it for anything other than running the platform.

We treat all data stored in FormBox as confidential and will not disclose it to third parties except as necessary to operate the platform or as required by law.

Our Privacy Policy covers how we handle personal data. Our Data Processing Agreement, available on request, covers how we handle your clients' data.

5. Data processing

To the extent we process personal data on your behalf. For example, any client data your firm stores in FormBox, we act as a data processor and you act as the data controller.

Our Data Processing Agreement, available on request, forms part of these terms and applies to that processing. It sets out how we handle personal data, including security, sub-processors, and international transfers.

By using FormBox, you agree to our Data Processing Agreement, available on request.

6. Fees

Fees are agreed when you subscribe and billed in Malaysian Ringgit (RM). Payment is handled via our payments provider. All fees are non-refundable unless we have agreed otherwise in writing.

If payment is overdue by more than 14 days, we may suspend access until it is resolved.

7. Acceptable use

You agree to use FormBox lawfully, access only your own firm's data, and not attempt to copy, reverse engineer, or resell the platform without our written permission.

8. Uptime and support

We work hard to keep FormBox reliable. We do not make specific uptime guarantees. We would rather be transparent about that than over-promise. When things break, we fix them as fast as we can.

9. Our liability

FormBox is provided as-is. We are not liable for indirect losses including lost revenue, missed deadlines, or consequential damages. If something is genuinely our fault, our liability is capped at the fees you paid us in the three months before the issue arose.

Nothing here limits liability for anything that cannot legally be excluded.

10. Ending the relationship

You can cancel with 30 days' written notice to legal@formbox.uk. We can do the same. If you seriously breach these terms, we may suspend or terminate access immediately.

When your subscription ends, your data stays accessible for 30 days so you can export what you need. After that, it is deleted.

11. Governing law

These terms are governed by the laws of Malaysia. If we have a dispute we cannot resolve between ourselves, we will both make a genuine effort to sort it out before involving anyone else.

12. Changes

If we make significant changes to these terms, we will let you know by email at least 14 days before they take effect. Continuing to use FormBox after that means you accept the updated terms.
